Getting started

Everything you need in the first ten minutes: create an account, understand the workspace, and run your first scan.

Create a free account

Where
Any page → top-right “Get started free”, or /auth
What it does
Signs you up with email + password, or with your Google account in one click.
What happens
You land in your own private workspace with the free allowance (50 scans per day) already active. Email sign-ups receive a verification mail from Grow By Lead; click the link before your first scan.
Good to know
Mail not arriving? Check spam, then use Google sign-in instead, or write to hello@growbylead.com.

Sign in

Where
/auth → “Sign in” tab
What it does
Logs you back into the workspace that holds your leads, reports and branding.
What happens
You are redirected to the Dashboard. Your session stays active on that browser until you sign out.

Reset a forgotten password

Where
/auth → “Forgot password?”
What it does
Sends a one-time reset link to the email on the account.
What happens
Open the link, set a new password, and you are signed in again.

Demo workspace (no login)

Where
Home page → “Explore 5,000+ leads free”, or simply open /leads while signed out
What it does
A fully populated protected sandbox with thousands of real scanned leads so you can judge the product before signing up.
What happens
The full dashboard opens with a green banner at the top inviting you to create a free account. You can browse, filter, search, open every tab and read every forensic signal.
Good to know
Delete, share links, exports, billing, scans and permanent data changes are blocked. You can practise CRM notes, stages, profile and report branding in your browser only; those temporary changes never reach production data and reset after 20 minutes.

Sign out

Summary cards

What happens
Click a card to jump into the matching filtered view of the Lead Vault.

Daily scan allowance

Where

What it does
Shows how many scans you have left in the current 24-hour window for your plan.
What happens
When it hits zero, new scans are queued until the window resets or until you upgrade on the Billing page.
Good to know
Re-scanning a domain you already scanned counts as a new scan.

Start a scan

Where
/dashboard → “New scan”, or /leads → import area
What it does
Accepts a single domain, a pasted list, or a CSV file of websites.
What happens
Each website is queued, analysed across the 3,800+ signals, and appears in the Lead Vault as a card. Large lists process in the background — you can leave the page.
Good to know
URLs may be written with or without https:// and www. Duplicates in the same upload are merged.

Lead Vault (/leads)

Where every scanned website lives. Filter it, search it, and work the list like a CRM.

Scanning the same website again

Where
Automatic
What it does
A website you already have is never added twice. Re-scanning refreshes that one lead with the newest capture.
What happens
Your stage, notes, tags and category survive the refresh. The card shows “Scan count”, “First seen” and “Last scanned”, plus whether anything changed since the previous scan.

Where a contact was found

Where
Lead card → Contacts
What it does
Each email and phone number records the page it came from — the landing page footer, /contact-us, structured data or a mailto link.
What happens
You can cite the exact source in an audit report, and contacts confirmed on more than one page score higher confidence.

Search box

Where
/leads → top bar
What it does
Free-text search across domain, company name, notes and contact details.
What happens
The list filters as you type; the result count updates next to the box.

Filters

Where
/leads → filter row
What it does
Narrow by score band, CRM stage, technology detected, contact availability and more.
What happens
Filters combine (AND). Clear them individually or with “Reset”.

Date range

Where
/leads → date range picker
What it does
Limits the list to leads scanned inside a period.
What happens
Useful for “everything I scanned this week” exports and reporting.

Sources

Where
/leads → Sources column / chip on each card
What it does
Shows where a lead came from: manual entry, CSV import, or the Chrome extension.
What happens
Click a source chip to see only leads from that origin.

Select leads (bulk bar)

Where
/leads → checkbox on each card
What it does
Selecting one or more leads opens the bulk action bar at the bottom.
What happens
From there you can create a share link, export, or remove the selected leads.
Good to know
A single share link holds up to 50 leads.

Remove from workspace

Where
/leads → bulk bar → “Delete”, or lead detail → “Delete lead”
What it does
Hides the lead from your vault, lists and exports.
What happens
The lead disappears from your workspace immediately. It is a workspace-level removal, not a destruction of the underlying scan record.
Good to know
Not available in the demo workspace.

Saved leads and evidence

Where
/leads → Lead Vault
What it does
Your saved leads and detailed scan evidence stay available while your account is active.
What happens
Older scans remain visible on Free, Starter and Pro; paid plans include bulk export.

Inside a lead card

Every lead opens into four tabs. This is the heart of the product — the evidence you quote when you pitch.

Overview & CRM tab

Where
Lead card → “Overview & CRM”
What it does
Company summary, overall score, and your private sales workspace for that lead.
What happens
Shows the headline issues at a glance so you know whether this prospect is worth your time.

How the scores are read (0 = perfect, 100 = big problem)

Where
Overview & CRM → score badges
What it does
Every score measures how much work the website needs, not how good it is. Low means the site is already fine; high means there is a lot to fix.
What happens
Redesign Opportunity 14 means the design needs little work. Speed & SEO 53 means clear technical weakness. The overall priority (Low / Medium / High) follows the strongest of the two.
Good to know
Under 40 = Low, 40–69 = Medium, 70+ = High. Pitch the high number, never the low one.

Redesign Opportunity score

Where
Overview & CRM → “Redesign” badge
What it does
Combines outdated code evidence (old layouts, plain HTTP, no mobile viewport, dated copyright) with how much website is actually there: number of real content sections, page height, images, amount of copy, typography and navigation depth.
What happens
A thin page — three or fewer real sections, under 250 words, no images, everything fitting on one screen, browser default fonts — now scores High even when its code is modern, because visitors see an unfinished site.
Good to know
Four sections count as partly thin; five or more are treated as a complete page. If the scanner could not measure the layout, those points are simply not added.

Speed & SEO Opportunity score

Where
Overview & CRM → “Speed & SEO” badge
What it does
Loading speed, core web vitals, meta tags, headings, indexability and structured data.
What happens
A beautiful site can still score high here — that is your pitch angle when the design is clearly fine.

Email spoofing protection (SPF & DMARC)

Where
Lead card → “Security & health” tab → “Email spoofing protection”
What it does
Reads the domain's published DNS records to show whether anyone can send email pretending to be this business. SPF lists which servers may send; DMARC tells receiving mail servers what to do with fakes.
What happens
A status badge (Protected / Partial / At risk), a strength score out of 100, and a plain-language list of what is missing. “Copy email security pitch” gives you a ready paragraph for outreach.
Good to know
Nothing is sent to the prospect and nothing is probed — these are public records anyone can read. A missing DMARC record is one of the easiest high-value problems to sell, because invoice fraud is a board-level worry.

Google search listing and structured data

Where
Lead card → “Technical signals” tab → “Google search listing”
What it does
Shows the prospect's result exactly as Google renders it today, then lists which rich-result types (business details, breadcrumbs, star ratings, FAQ, opening hours, products) their pages cannot currently earn.
What happens
You can show a client why competitors' listings look bigger and collect the clicks first. “Copy search listing pitch” turns the findings into a sendable paragraph.
Good to know
Product and opening-hours recommendations only appear for sites where the scan actually found shop or local-business signals, so the report never asks for schema the business does not need.

Brand kit (colours and fonts)

Where
Lead card → “Overview & CRM” tab → bottom of the tab
What it does
The colours and typefaces the prospect's live website actually uses, captured during the scan.
What happens
Click any swatch or font name to copy it, then build a redesign mockup or pitch deck already in their brand.
Good to know
Older leads scanned before this feature was added show nothing here; re-scan the site to capture it.

Stage

Where
Overview & CRM → stage dropdown
What it does
Marks where the lead sits in your pipeline (e.g. New, Contacted, Replied, Won, Lost).
What happens
Saves instantly and becomes filterable in the vault.

Notes

Where
Overview & CRM → notes box
What it does
Free-text notes about the conversation.
What happens
Saved to your workspace only; never shared unless you include the lead in a share link.

Voice dictation

Where
Overview & CRM → microphone button next to notes
What it does
Dictates a note instead of typing it.
What happens
The browser asks for microphone permission the first time; your speech is transcribed into the notes field where you can edit it before saving.
Good to know
If nothing happens, the browser has blocked the microphone — allow it in the address-bar permissions icon.

Forensics & Outreach tab

Where
Lead card → “Forensics & Outreach”
What it does
The prioritised list of problems found on the site plus outreach copy built from those findings.
What happens
Each finding separates observed evidence from interpretation, and states the business impact you can quote in an email.
Good to know
Copy the outreach text, then personalise the first line — templates that are sent untouched perform poorly.

GPT-6 Astra powered outreach emails

Where
Lead card → Forensics & Outreach → Outreach pitch studio
What it does
Uses the lead's observed business, location, category and website evidence to write four tailored outreach angles without developer jargon.
What happens
Choose GPT-6 Astra deep pitch, review the subject and body, then copy it or open it in Gmail with the discovered recipient prefilled. Free includes 5 packages a day, Starter 50, and Pro 500+.
Good to know
Signed-out demo visitors see safe sample emails without calling the paid model. Create a free account to generate fresh GPT-6 Astra powered emails for your own leads. A saved domain insight loads again without using another daily allowance.

Contacts & Verification tab

Where
Lead card → “Contacts & Verification”
What it does
Corporate emails, phone numbers and social profiles discovered for the domain, each with a confidence rating.
What happens
Confidence reflects the strength of the evidence found (pattern, source page, provider checks). It is an assessment, not a delivery guarantee.
Good to know
Always validate high-volume lists in your sending tool before a campaign.

Technical Signals tab

Where
Lead card → “Technical Signals”
What it does
The raw detected stack and measurements: CMS, frameworks, analytics, security headers, core web vitals, mobile usability.
What happens
Use it for the technical appendix of your audit or to judge whether the site is worth rebuilding.

Share lead

Where
Lead card → “Share lead”
What it does
Creates a public read-only link for that single lead.
What happens
See the Share links section below for the options.

Client-ready reports

Turn a scan into a document you can attach to a proposal.

Executive summary (1 page)

Where
Lead card → report button → “Executive summary”
What it does
A short, non-technical page for the decision maker: the three or four issues that cost them money.
What happens
Downloads as PDF or Word.

Comprehensive technical report

Where
Lead card → report button → “Technical report”
What it does
The full forensic document with every finding, evidence and recommendation.
What happens
Downloads as PDF or Word — hand it to a developer or attach it to a retainer proposal.

Choose a focused report

Where
Lead card → Client audit report → Report scope
What it does
Choose Recommended, Full agency audit, Redesign & conversion, SEO & performance, Security & trust, or Custom.
What happens
The preview, PDF and editable Word file include the same selected evidence and omit unrelated sections.
Good to know
Recommended chooses the weakest measured area. Use Custom to combine only the sections relevant to your offer.

Security & Health evidence

Where
Lead card → Forensics & Outreach → Security & Health
What it does
Shows an A–F grade, measured pass/fail checks, the detected site type, and a copy-ready security pitch.
What happens
Checks that do not apply—such as checkout security on a brochure site—show Not applicable instead of creating false faults.

Report branding

Where
/settings → report branding
What it does
Upload your logo, set your accent colour and agency details.
What happens
Every generated report carries your identity instead of ours. Leave it empty for neutral, unbranded styling.
Good to know
Use a transparent PNG logo for the cleanest header.

Live client audit page (shareable link)

Where
Lead card → “Client audit” → report step → Live client page
What it does
Publishes the report you are looking at as a secret web page and gives you a short link to send. The page carries your logo, your colours and your own booking button — no Grow By Lead branding.
What happens
The prospect opens one link on their phone instead of downloading an attachment. The panel shows how many times the page has been opened, so you know when to follow up, and the switch turns the link off instantly.
Good to know
Available on Starter and Pro. Add your booking link before publishing so the page ends with a real next step. Press “Update page” after changing the report to refresh what visitors see.

Exports & CSV

Get your data out in exactly the shape your other tools expect.

Export selected leads

Where
/leads → select leads → bulk bar → “Export”
What it does
Downloads the current selection as CSV.
What happens
The file respects your active filters and selection.

Field picker

Where
Export dialog → field list
What it does
Choose exactly which columns are included — domain, score, contacts, individual signals, CRM stage, notes.
What happens
Your selection is remembered for the next export.
Good to know
For cold-email tools, export domain + primary email + one or two evidence fields you will merge into the message.

Using exports for cold email

Where
Outside the app — Smartlead, Instantly, or your sending platform
What it does
Grow By Lead is your research and evidence layer; sending happens in a dedicated cold-email platform on a separate domain.
What happens
Our own mail system is strictly transactional (sign-in, verification, notifications) and must never be used for bulk or unsolicited outreach — that protects your main domain's reputation as well as ours.

Profile

What it does
Your name, email and avatar.
What happens
Changing the email requires confirming the new address.

Report branding

Applies to all future reports immediately.

Your own GPT-6 Astra voice (Pro)

What it does
A 1,000-character brief telling GPT-6 Astra who you are, what you sell, the proof it may use and the words to avoid, plus a tone choice and your booking link.
What happens
Every outreach email GPT-6 Astra writes for you follows your brief instead of the standard house style, and those drafts stay private to your workspace — nobody else ever sees them.
Good to know
Pro only. Free and Starter keep the standard house style, which already writes four proof-based emails per lead. Switch “Use my instructions” off any time to go back to the house style.

API key

Where

What it does
Creates and rotates the key used by the Chrome extension and any of your own integrations.
What happens
Copy it once at creation. Rotating a key invalidates the old one immediately.
Good to know
Treat it like a password — never paste it into a public document or repository.

Devices

Lists the browsers and extension installations paired with your account.
What happens
Remove a device to revoke its access instantly.

Data & retention

Chrome extension

Qualify a website while you are browsing it, and push it straight into your vault.

Install

Where
Download the extension package from the app, then chrome://extensions → Developer mode → “Load unpacked”
What it does
Adds the Grow By Lead button to your browser toolbar.
What happens
The icon appears next to the address bar.

Pair with your account

Where
Extension popup → paste your API key
What it does
Links the extension to your workspace.
What happens
Leads captured in the browser show up in your vault with source “extension”.

Capture the current site

Where
Extension popup → capture button while on any website
What it does
Queues the site you are viewing for a full scan.
What happens
The lead appears in /leads once the analysis finishes.

Tamper protection

What it does
The extension verifies a cryptographic signature on its own code and configuration every time it runs.
What happens
If anything has been modified it locks itself down and stops sending data. Reinstall a fresh copy to recover.

A scan seems stuck

Very slow or protected sites can take longer, and heavy lists process in batches.
What happens
Refresh after a few minutes. If it is still pending, re-queue that single domain from the Dashboard.

No email found for a lead

What it does
Some sites publish no address at all, or hide it behind a form.
What happens
Use the social profiles listed on the same tab, or the contact form on the site. An absent email is a finding, not an error.

Low email confidence

Lead card → Contacts & Verification
What it does
Confidence summarises how strong the evidence behind an address is.
What happens
Low confidence means send with care — verify in your sending tool first.

A share link shows “expired”

The /s/… page
What it does
The expiry you chose has passed, or you revoked the link.
What happens
Create a new link for the same leads with a longer expiry.

Buttons are missing in the demo

What it does
Delete, share, export, CRM save, scan and billing are intentionally disabled for signed-out visitors.

Create a free account and every action becomes available in your own workspace.

Daily limit reached
